How to Use Kajabi + Calendly to Create a High-Converting Sales Funnel (and Close More Calls)

If you’re using Kajabi to run your coaching or consulting business, you already know it’s more than a course platform — it’s your full backend system for content, marketing, and client experience.
But what if you could turn your Calendly scheduling link into a high-converting sales funnel — and manage the entire experience through Kajabi?
That’s exactly what I’ve done in my business. And it’s helped me:

In this post, I’ll walk you through how to combine Kajabi + Calendly to automate value delivery, reinforce your authority, and close more high-ticket sales calls — without sounding salesy.
Why Kajabi Is the Perfect Hub for This Funnel
Most coaches use Kajabi to host their programs, but few leverage it as their sales enablement platform.
That’s the difference.
Kajabi allows you to:

All you need is a trigger — and that’s where Calendly comes in.
Step 1: Create a Strategy Call (Not a “Discovery Call”)
First, change how you label your call. Most people call it a 'sales call' or a 'discovery call' which is sterile.
I call mine a Strategy Call because it sets expectations. This isn’t a “get-to-know-you” — it’s a focused conversation designed to deliver insight, build connection, and potentially offer a next step.
This subtle reframe increases booking rates and sets the tone that your time is valuable. It also implies that you'll be dropping value and helping your clients carve out an actual strategy to help them go from pain point to desired outcome.
The strategy call is just a sales call but you identify where they are at and give them a high lever road map of where they want to go, then provide them a higher touch point offer such as coaching/community/course.
Step 2: Use the Calendly Scheduling Page Like a Sales Page
Most people skip this, but the scheduling page is prime real estate. On your Calendly booking page you can add details about what they will be booking. Use this to create curiosity and establish yourself as the expert.
Here’s how I write mine:

Intro: What the call is and who it’s for

Ask Me About: Bullet points listing pain points or outcomes your client might be struggling with

About Me: A short section that builds credibility (past results, client success, relevant personal details)
You don’t need to overdo it — but this copy creates immediate trust and interest. You can see my booking page below:
Step 3: Redirect to a Thank You Page in Kajabi
Once the call is booked in Calendly, redirect users to a custom Kajabi page.
Here’s what to include:

A 1–2 minute welcome video

A short message reinforcing the value of the upcoming call. Pro tip: congratulate them for taking action, it takes courage to book a call with you.

Testimonials, screenshots, or even a preview of your client results; this helps build authority ahead of your call.

A note that says, “Watch your inbox for a few helpful resources before our call.” This will help prime them to look out for your emails.
This is where Kajabi shines — you can easily build this as a landing page using your existing branding and assets.
This also adds them to your email list which a lot of people don't think about. You are literally adding a warm to hot lead into your contact list with this funnel.
Step 4: Use Kajabi Email Automations to Deliver Value Before the Call
Instead of just sending reminders, use Kajabi email sequences to warm up the lead before the conversation.
Here’s my exact cadence:

Email 1 – Sent at time of booking:
Deliver a quick win (PDF, resource, or short video). Frame it as “pre-call prep” but position yourself as an expert. -
Email 2 – Sent 24 hours before the call:
Share a blog post or podcast episode that’s relevant to their goals. This deepens trust and shows you understand their world. -
Email 3 – Sent 1 hour before the call:
A simple, human confirmation reminder. I keep this casual but still in my brand voice.
You can build this as a simple email automation inside Kajabi, triggered by a tag or segment when someone books via Calendly. You can use Zapier to connect Calendly and Kajabi; then trigger the automation.
Step 5: Send a Post-Call Email Through Kajabi
After the call, use Kajabi to send a follow-up email.
Mine typically includes:

A thank you
-
A recap or next steps
-
A link to an application or payment if we’re moving forward
Even if you don’t close on the call, this email keeps the momentum going and wraps your client experience in a clean, consistent way.
The best thing about this funnel is it reduces your workload through automation.
